Located on the campus of the U.S. Coast Guard Academy in New London, CT, and operating under the USCGA Alumni Association, the Bear Club seeks two highly motivated interns. Each position focuses on either communications or event planning/operations. Established in 2012, the Bear Club provides annual financial support to the Coast Guard Academy Division of Athletics. During the last two years, Bear Club annual revenue has increased 75% and the number of donors has grown to over 1,000. While focusing on either communications or event planning/operations the successful candidates will be exposed to all aspects of this successful and growing program. Other responsibilities and opportunities TBD and may be added in order to meet specific academic course requirements. These are unpaid internships.
Primary Responsibilities – COMMUNICATIONS:
Facilitate Thank You Notes for Individual Head Coaches
On a monthly basis, use Raiser’s Edge database to run reports that produce personalized thank you notes for all 22 head coaches, to donors of their respective programs/funds.
Deliver thank you notes to coaches so that they may personally sign and add PS.
Track and ensure the timely return of thank you notes from the coaches, and facilitate the mailing of thank you notes to the individual donors.
Prepare Content for Monthly eNewletter: “The Growler”
Work with Bear Club Director, USCGA Alumni Association Communications staff, and CGA Athletics Sports Information staff to identify topics and stories for appropriate content to include in the Bear Club monthly eNewsletter.
Write and edit content as necessary.
Prepare distribution list using Raiser’s Edge database.
Assist in the administration of the official Bear Club facebook page.
Write creative and appropriate posts that are consistent with the Bear Club objective and goals.
Explore other opportunities for social media such as twitter and Instagram, and potentially draft a comprehensive plan to expand Bear Club reach through social media.
Primary Responsibilities – EVENTS:
Assist in planning and management of three golf tournaments:
Otto Graham Golf Classic – Orlando, FL (April 2018)
Otto Graham Golf Classic – Fishers Island, NY (Sept 2018)
Bear Club Golf Open – Stonington, CT (Oct 2018)
Assist in developing marketing plan and event budget
Track participant registration
Manage logistics associated with obtaining items for participant gift bag, raffle and contest prizes
Assist with sponsorship fulfilment
Staff the events
Spring and Fall Tailgates (2-3 throughout the season, located on campus)
Coordinate logistics associated with planning events that engage with parents of cadet athletes and alumni
Work with Alumni Association professional staff to create online registration
Create budget including catering
Track registration in Raiser’s Edge database
Staff the events
Regional Tailgate Events for Men’s Lacrosse (West Point, NY) and Track & Field (Annapolis, MD)
Assist in all aspects of planning and marketing these events
Work with caterer to develop menu within budget
Track participation in Raiser’s Edge database
Staff the events
Must be highly motivated and possess a desire to learn about a career in athletic development or related field.
Should have a basic understanding of college athletics.
Strong written and verbal communication skills.
Expected to establish effective working relationships with USCGA Alumni Association Staff, Athletic Coaching Staff, and select Athletic Administration.
Proficient in Microsoft Office (specifically Word and Excel) and willingness to learn basics of Raiser’s Edge database.
This position will have access to confidential donor information and the intern will be required to treat that information appropriately and sign a confidentiality statement.
Will be expected to work 20 hours/week over 3-4 days.
