The Division of University Advancement is one of five current central divisions of the University whose primary purpose is to enhance the private support of the University. University Development creates programs, events and activities that stimulate the involvement and interest of an ever-growing base of nearly 140,000 alumni, parents, current donors, and friends. The development staff work together to maintain relationships with on-campus and off-campus constituencies and stakeholder groups interested in advancing the mission of the University.
DUTIES AND RESPONSIBILITIES
Under the direct report to the Associate Vice President for University Development, the Associate Athletic Director (AAD) works with the Director of Intercollegiate Athletics to develop a quantified plan that identifies the resource needs of Athletics. University Development will be responsible for the articulation of those AAD activities designed to meet the Department of Intercollegiate Athletics' development goals in conjunction with the Director of Intercollegiate Athletics. On a daily basis, the incumbent identifies and qualifies supporters/boosters, cultivates prospects, nurtures existing donors and supporters, prepares for and undertakes solicitation and funding proposals, and engages in stewardship activities that keep donors and friends informed, interested and engaged in the activities of the Department of Intercollegiate Athletics and the University. The incumbent works with the Department of Intercollegiate Athletics' professional staff, coaches, and others to identify not only the overall needs and initiatives of the department, but the individual needs, characteristics, and requirements of the sports, teams, and student athletes that comprise intercollegiate athletics at Cal Poly Pomona; and undertakes individual sources and pursues those sources leading to a qualified solicitation of support in a timely, strategic, and professional manner. The AAD works with the Department of Intercollegiate Athletics' administration to identify, develop, pursue, and secure corporate support affiliations, trade-outs, sponsorships, affinity relationships, and related support mechanisms for intercollegiate athletics in general, as well as for individual programs, teams, facilities, and endowments; and develops innovative and exciting ways to market intercollegiate athletics and its programs to both on-campus and off-campus constituents for the purpose of boosting awareness and support. The AAD works with the Bronco Athletic Club (BAC), the athletic organization dedicated to the support of Cal Poly Pomona athletics; provides professional expertise, leadership, and staffing support to BAC and assist BAC to continue the tradition of successful fundraising initiatives for athletics; continually grows the BAC and other support entities and executive level donor societies committed to intercollegiate athletics at the University; works to promote supporter interests, volunteerism, and involvement; attends BAC meetings, home athletic events, cultivation events, university receptions, community events, and advancement activities for the purposes of representing the university and/or athletic advancement and development initiatives. The incumbent undertakes off-campus travel to meet with established and potential supporters, prospects, and donors as part of a strategic plan of development; works to establish relationships with area employers, corporations, and foundations, and pursues funding opportunities with them through proposal submissions; as well as generates new prospects and donors on a regular basis through cold-calling, involvement with area service organizations, and other creative means. On a daily basis, the incumbent integrates Department of Intercollegiate Athletics development activities with university-wide programs and assets, including Alumni Relations, Strategic Communications, Prospect Research, Gift Processing, Planned Giving, Annual Fund activities, university events, foundation and corporate outreach, and the like; works as a team with other Department of Intercollegiate Athletics, Student Affairs, University Development, and University Advancement Division staff focused on development objectives and as a principal development lead in intercollegiate athletics, the AAD will continuously evaluate the efficiency and effectiveness of various development strategies and activities and recommends refinements and new development ventures as needed. The incumbent provides oversight and support to all areas of external relations for intercollegiate athletics including coordination with Marketing and Promotions, Corporate Sales and Partnerships and Game Management as needed. The AAD will be part of an effective University Advancement team who participates in division skills enhancement, strategic planning, goal setting, event planning, and project status sessions, and will maintain the high standards of campus development procedures and protocols. On a daily basis, the AAD is focused on the needs of the Department of Intercollegiate Athletics, or working on campus-wide development initiatives, and will utilize the various forms, report formats, databases, and other protocols that comprise the approach and style of the Division; serves as the central clearinghouse for Acceptance of Gift forms and reporting for intercollegiate athletics; works to ensure that the development-oriented projects, correspondence, events, and communication pieces of the Department of Intercollegiate Athletics adhere to campus-wide and division graphic and professional standards. The AAD is part of an effective University Advancement team and will participate in divisional strategic planning, goal setting, event planning, and project status sessions, and will maintain the highest standards of campus development procedures and protocols utilizing the various forms, report formats, databases, and clearance procedures; and works with the athletic director to ensure that all development-oriented pieces, communications, and events adhere to the campus-wide and division graphic and professional standards. The AAD is part of an effective University Advancement team and will participate in divisional strategic planning, goal setting, event planning, and project status sessions, and will maintain the highest standards of campus development procedures and protocols utilizing the various forms, report formats, databases, and clearance procedures; and works with the athletic director to ensure that all development-oriented pieces, communications, and events adhere to the campus-wide and division graphic and professional standards. The incumbent integrates Intercollegiate Athletics development efforts with the Central Advancement staff and the various services in place; works with the Division's database systems, Gift Processing, Annual Fund, Alumni Relations, and Prospect Research offices to consistently ensure and protect the freshness and security of the advancement database and the prioritized assignment of donors and potential donors; files contact reports with Central Advancement, and ensures accurate gift processing and receipting. In addition to providing primary focus on the development objectives and needs of the unit, the AAD assists with general donor cultivation, solicitations, and stewardship as part of the University Development team that attracts additional campus support important to all colleges and programs; and performs other duties as assigned.
Bachelor's Degree from an accredited university AND three to five years of progressively responsible and successful major gifts fundraising experience, including program planning and personal solicitation; proven success in goal achievement for operating, capital, and endowment fund development; donor cultivation and asks; and familiarity with success in the complex environment of a public university. This position requires a self-starter with strong written and oral communication skills, well-developed computer skills, and the ability to work in a team-oriented environment as well as experience in an athletics setting and/or higher education/non-profit setting. The candidate must have excellent oral and written skills required, relating well, and communicating effectively with a variety of constituents, including high-profile leaders; ability to establish and maintain effective working relationships, on- and off-campus, serving in a leader role, and a liaison and representative of the department, division, and the university; demonstrated success in donor cultivation and solicitation; ability to generate and secure new sources of revenue, as well as maintain existing donor relations and understanding of the structure of athletic programs and specific fundraising activities to include: Athletic Facilities' fundraising campaigns, understanding of gift processing, valuation, and acknowledgement requirements, understanding of development cultivation, solicitation, and stewardship fundamentals, understanding of types of gifts (planned, current, endowment, restricted, estate, etc.) and understanding of ways to give (cash, gifts-in-kind, grants, awards, instruments, etc.). The candidate must have working knowledge of a personal computer using various software including Microsoft Word, Excel, Outlook, as well as knowledge of the Internet; ability to work evenings and weekends and travel overnight when required due to donor, development, and cultivation meetings, events, and various sports games; and understands and reflects the highest standards of professional conduct and integrity. Valid CA Driver's License and private automobile with required insurance is required.
An advanced degree preferred; familiarity with contemporary athletics and sports issues and trends; familiarity with methods of fundraising for athletic programs; familiarity with NCAA and other governing body guidelines and requirements relating to fundraising; demonstrated participation in CASE, NSFRE, and NAADD conferences, workshops, and/or professional, development activities; demonstrated success in preparing and submitting support proposals; and a Certified Fund Raising Executive (CFRE) credential is desirable.
