The Primary Purpose of the Pirate Club or ECU Educational Foundation is to serve East Carolina University and its student-athletes as the friend raising and fundraising organization for East Carolina University's Division I Athletics Program, representing the highest principals of honesty and integrity. By conducting annual fund, endowment and capital campaigns in support of student-athlete scholarships, athletic facility enhancements and other programmatic needs the Pirate Club seeks to bring positive recognition to East Carolina University and the region it serves.
The primary purpose of this position is to manage, plan and execute excellent Pirate Club special events for the purpose of increasing overall engagement for current Pirate Club donors and for entertaining perspective Pirate Club members. Duties include, but are not limited to, the following:
Oversee and manage all aspects regarding the planning and execution of multiple Pirate Club events annually both locally and on the road.
Calculate and follow budgets, book reservations, select caterers, chefs or others to prepare food. Order and keep an inventory of beverages, book reservations, select caterers, chefs or others to prepare food. Order and keep an inventory of beverages.
Work closely with ECU Operations team & negotiate with vendors regarding venues and other event needs.
Scout out venue space and decor for events.
Plan layout and decorations for various events annually including, but not limited to, pregame hospitality, donor travel and events, VanSant Society, Signing Day, Breakfast of Champions, bowl games, Executive Committee Meetings, Endowment Receptions and many other events.
Coordinate event logistics, including registration and attendee tracking, presentation and materials support and pre- and post-event evaluations.
Keep inventory of backdrops, projectors, computers, and other display materials.
Assist with day to day Pirate Club activities such as answering phones and taking gift orders, while being courteous, informative, and positive.
Coordinate and monitor event timelines and make sure deadlines are met
Build quality relationships and work collaboratively and professionally with Pirate Club, athletics, and University staff, students, business vendors and all donors and stakeholders.
Abide by all written policies and procedures of ECU, the Department of Athletics, The Educational Foundation (Pirate Club), the National Collegiate Athletic Association (NCAA), and all applicable conferences or associations.
Perform other duties as assigned.
Evenings, weekends, and travel required in the performance of the above duties.
Bachelor's degree in a discipline related to the area of assignment; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.
