This position is responsible for assisting in the management of the Association’s $100 million travel and meeting planning budget. This position assists with the daily operations of the travel, meetings and events department; and serves as a liaison for transportation, meeting and events providers.
Assist with the management of the Association’s $100 million travel budget including communications with the staff, membership, official travel agency, ground transportation provider, championship hotel vendor and other vendors.
Provide customer service and education to member institutions, committees and staff regarding the Association’s travel, meetings and events policies; including but not limited to championship transportation and per diem reimbursements; and policy compliance.
Assist with processing expense reports for staff, committees, programs, championships and transient travelers within department guidelines.
Provide joint oversight of the championship hotel program. Work closely with championships and the hotel program vendor.
Assist in the management and supervision of the NCAA travel vendors to ensure the partners are meeting the performance goals while maximizing the value to the NCAA.
Assist in the management and oversight of ground transportation provider and program.
Assist in the management and supervision of all aspects of the NCAA meeting planning and events program. Work with the operations staff to ensure effective oversight of internal conference center, catering and set-up vendors.
Assist with the management of the annual NCAA Convention. Working with NCAA operations, communications, governance and other national office departments, as well as meeting and events vendors.
Manage accounting items related to travel such as the $6 million receivable account for air and ground expenses, fund transfers to vendors, journal entries of centrally billed airfare, and reconciliation of all travel accounts and expenses.
Provide back up for the Association’s corporate card program, including policy compliance, delinquent account management, spend analysis and management of rebate programs.
Initiate and support process improvements to streamline workflows for travel, meetings and events.
Provide 24/7 on-call assistance for travel agency, staff and membership every third week.
Special projects as assigned.
5 years experience in a travel and/or events field;
Ability to work quickly and efficiently in high-stress situations while effectively prioritizing tasks;
Able to interpret policy and apply equitably across all sports and all divisions;
A team player who is diligent, accountable, pays close attention to detail with ability to maintain confidentiality;
The ability to communicate effectively (both orally and in writing);
Coordination skills with internal staff and external service providers;
Effective organizational and managerial abilities;
Strong interpersonal and problem-solving skills;
Demonstrated service orientation and membership knowledge;
Ability to work with Excel spreadsheets, pivot tables, Word documents, databases and travel systems required.
Advanced degree preferred.
Experience serving a membership organization and/or working in intercollegiate athletics or at a sports institution.
