JOB PURPOSE AND FUNCTION
Under the general supervision of the Senior Vice President of Major Gifts, the 12th Man Foundation Manager of Development & Campaign Services will serve as an active member of the Major Gifts development team. The Manager of Development & Campaign Services is responsible for managing day-to-day activities as well as large-scale projects including capital campaigns for the Major Gifts department and in support of the mission of the 12th Man Foundation.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

Administrative Duties
- Coordinate and manage advanced administrative and campaign support for Major Gifts.
- Draft gift agreements, proposals, and fundraising reports. Manage the gift tracking and acknowledgement process and generate acknowledgement reports, campaign tracking reports and other reports as needed.
- Write, proof and edit proposals, correspondence, presentations, reports, meeting agendas, thank you notes and follow up notes as needed.
- Implement donor mailing projects, including preparing mailing lists, and executing mail merges. Coordinate printed materials serving as the liaison with communications personnel, printers, mailing vendors, etc.
- Work with SVP of Major Gifts in the development and finalization of the fiscal year Major Gifts budget.
- Maintain budget and provide updates and tracking throughout the fiscal year for the Major Gifts team.
- Work with SVP of Finance on weekly and monthly Major Gifts fundraising reports. Prepare specific project and campaign reports.
- Prepare Major Gifts materials for the 12th Man Foundation Board of Trustees meetings.
- Facilitate annual mailing of capital statements.
- Serve as Ticket Office liaison for Major Gifts ticketing needs.
- Assist in donor research and donor roster management. Coordinate the review of donor rosters and maintain up-to-date rosters for all development officers.
- Regularly review and maintain up-to-date information on the Major Gifts portion of the 12th Man Foundation website.
- Organize and maintain physical and electronic development records, donor files, and donor accounts. Retain and file gift agreements, payments and other correspondence to and/or from donors ensuring that support documents are easily accessible and up-to-date.
- Work closely with the Office of the President, the Office of the Board of Regents, and the Executive Assistant to the Athletics Director.
- Review, reconcile, and prepare monthly expense reports.
- Provide occasional assistance outside the normal schedule to accommodate and support the 12th Man Foundation events, and/or additional tasks and responsibilities as assigned by the SVP of Major Gifts and/or other development officers.
- Other duties as assigned.
Donor Relations
- Provide exceptional customer service to donors by confirming receipt of contributions, fielding inquiries regarding donor accounts and gifts, or any number of additional donor requests.
- Manage individual donations, including processing thank you letters, and any additional correspondence.
- Work with Major Gifts staff and the event staff to provide support, guidance and feedback in all special events.
- Assist in the completion of donor recognition events including developing invitation lists, preparing invitations, working with vendors, gathering and preparing registration materials, attending events to help with registration, set-up, clean-up, and event follow-up as needed.

Qualifications
- Bachelors degree in related field preferred
- Minimum of three years of experience in an administrative position, preferably in a development office
- Proficient in all applications of Microsoft Office, including Excel, Word, PowerPoint; experienced in mail merge process
- Proficient in data entry and database management including producing reports preferred
- Experience with Paciolan and SalesForce programs preferred
- Willingness to work a flexible schedule based on changing priorities, including weekend, holiday and evening hours
- Ability and willingness to travel to perform functions of the position
- Ability to appropriately handle confidential information
