As a member of the NCAA President’s Office staff, the Coordinator of Executive Affairs works in a team environment in which the focus is on a high level of service and expectations for quality. The Coordinator of Executive Affairs is experienced in handling a wide range of administrative and executive support-related tasks and can work independently after initial guidance with no supervision. This person must be exceptionally organized, flexible and appreciate the administrative challenges of supporting a small office with several executives and a demanding workload. The individual recognizes the dynamic nature of the position and sees no project or problem too big or small to manage. The ability to thrive in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality is essential to being successful in this role. Expert-level written and verbal communication skills, strong strategic decision-making ability and attention to detail are critical.
The Coordinator of Executive Affairs independently and strategically manages the functional and administrative support activities and engagements of the NCAA President. The Coordinator of Executive Affairs reports to the Director of Executive Affairs, manages a variety of group-wide engagements, and partners with multiple department executives to organize, plan and execute on activities of the Office of the President.
Job Responsibilities
Serve as point person for all matters related to the President’s schedule and engagements and prioritize Presidential commitments based on key priorities of the Association’s strategy set by the President and Board of Governors.
Manage multiple requests and engagements of the NCAA President and coordinate all presidential events with internal and external organizing groups. Prioritize and schedule events and meetings the President attends or at which he represents based on the Association’s strategy, goals and priorities set by the President and Board of Governors.
Manage all scheduling for the President, director of executive affairs and Office of the President. Set-up and plan meeting details including developing agendas, coordination of attendees, location, meals, lodging, airfare, mailing of materials, video equipment, video conferencing/teleconferencing and other details as needed. This includes all external meetings (e.g., campus visits, championships, corporate engagements, political engagement, etc.) and internal meetings (e.g., all-staff meetings, managing director/director meetings, president’s cabinet meetings, senior management team meetings, etc.).
Partner with Legal, External Affairs, Governance and the Office of the President to make meeting and scheduling recommendations on all incoming requests, invitations, and engagements. Recommendations would be based on data gathering from internal and external constituents and would be made independently based on key priorities and strategic initiatives of the Association.
Develop a proactive scheduling strategy to bring forth opportunities/engagements in which provide most value to the President and the Office of the President. Manage and analyze data on engagements to provide foundation for informed decision-making and priorities.
Manage and coordinate the schedule for Men’s and Women’s Final Fours and Convention for the executive team.
Engage as a member of the executive staff, collaborating on team projects, serving as backup for other team members and delivering on the goals established for the group.
Coordinate and manage all commercial and charter air travel, transportation and lodging.
Manage the President’s expenses and processes for reimbursement. Coordinate expense reimbursement with finance department.
Serve as the point of contact for the NCAA’s internal president’s cabinet support team.
Work with internal and external constituents to manage the engagement priorities and gather the appropriate background and context for all engagements.
Collaborate with the person responsible for daily briefings to ensure the daily briefings include all materials gathered internally and externally for each day’s engagements.
